IoTFileTracker is a file tracking and records management platform designed to give organizations complete visibility into physical files, documents, archives, and electronic records. The system combines software, barcode scanning, RFID technology, fixed antennas, mobile scanners, file folder labels, color-coding, storage planning, retention scheduling, reporting, and audit trails. Staff can use the platform to check files in and out quickly by scanning a barcode or RFID label instead of manually entering file identifiers. Mobile RFID scanners help users locate needed or misplaced files from more than 20 feet away using audible beeps, cold-warm-hot color guidance, and numeric proximity indicators. The platform supports batch check-in, batch check-out, inventory scans, archive audits, facility-wide tracking, unauthorized movement alerts, flashing lights, verbal commands, and video evidence at exits. IoTFileTracker also helps manage offsite archives by tracking which files are inside which boxes, which boxes are in storage, which records are ready for destruction, and which items are overdue for return. Its software includes configurable fields, dropdown values, backend integrations, request and reservation workflows, reporting, retention lifecycle statuses, and audit trails for every view, update, movement, or status change. The system supports hybrid records environments through Electronic Document Management System capabilities that connect physical file tracking with electronic records access, search, collaboration, and lifecycle control.
