What is ReciteMail?

ReciteMail is an email assistant for Windows desktops that focuses on creating replies that are in line with your personal communication style. It does not connect directly to your email account; instead, it works on an import-only model, enabling you to choose messages in formats like .eml, .mbox, .msg, or .pst, which are kept safe in an AES-256 encrypted database on your computer, supplemented by an optional app lock for enhanced security.

When it's time to craft a response, you can either paste the original email, use voice commands to summarize it, or select it from any open application on your screen.     Summary

    We are a small operation running around 400 customer emails a week across six people, and this has been the biggest single improvement to that workload in the three years I have managed the team. It has not replaced anyone. It removed the part of the job everyone hated, which was retyping the same six answers all day, and left the genuinely hard conversations to the humans, who now have time for them. I would recommend it to any small support team, with two caveats. Get everyone on Windows first, and expect to manage seats through email rather than a dashboard. Neither slowed us down, but know it going in.

    The voice matching is the real feature. We imported about eighteen months of our shared support mail and the drafts came back sounding like our team rather than like software. Customers have not once mentioned anything feeling automated.

    Onboarding got dramatically easier. A new support hire used to take six or seven weeks before their emails read like ours. The last two were writing on brand in their first week because the drafts already carry the house voice and they just adjust the details.

    It never touches our mailbox. This is the only reason I got it approved. Everything else we trialled wanted full access to our email through a sign in, which meant a security review, a data processing agreement and a conversation with our insurer. This one works from a file we export ourselves and the history sits encrypted on each machine, so it never became a compliance project.

    Speed on the repetitive queue. Order status, delivery chasers, refund confirmations. These were eating most of the morning. Now an agent skims the thread, gives it a one line instruction and sends. Our median first response went from a bit over four hours to just under two.

    The dictation is better than I expected. I use it constantly between meetings. I say what the reply needs to do and a properly structured email comes back, which is far faster than typing on a laptop balanced on my knee.

    Translation has quietly opened up our European customers. We were slow and vague with those before because we were guessing at the original message. Now we read it properly and reply in their language.

    Windows only. Two of our people are on Mac and are stuck without it, which makes consistency across the team uneven. This is my biggest complaint by far.
