    I absolutely love the scheduling tools! I also appreciate being able to see who has read messages in the chat. This app makes organizing easy with my staff's schedule, availability, and communication all on one platform!

    I wish there was an option to make it required for all staff to either pick up or deny "open shifts", this would be extremely helpful for us as we have a coverage issue. Without this feature I am still having to directly ask each of them whether or not they can cover every open shift.

    I live how straight forward and easy this app is to use. From being an employee using it, to being a manager using it to schedule. It has been a very helpful and useful tool. The only complaint I have is the availability and time off request option can be a a little confusing at first. But that is the only complaint I have.

    It's good app. Very easy to use. I think I would need some training for certain things I would like to use if the app can do it. But overall satisfied

    If I call someone in last minute to work, I have to create a shift for them to clock in. Would be nice if they can clock in and it sends an approval to management to approve with one click.

    Excellent experience with this application. It's so handy to be able to have the clock in and out linked to geolocalisation.

    Overall, this has saved me five working hours every two weeks—time I can now dedicate to other priorities within the organization. It’s also eliminated any grey areas around scheduling, giving the team a much clearer understanding of their shifts. On top of that, the option for agents to leave scheduling preferences has noticeably boosted team morale, allowing me to strike a balance between what’s best for the business and what works best for the team.

    This platform makes it incredibly easy to create our team’s monthly schedule. If someone is out, we can quickly update their shift and make it available for another agent to pick up. My favorite feature, though, is how it automatically calculates overtime—so as we build the schedule, we can ensure hours are distributed evenly across the entire team.

    Negative

    So far, I haven’t encountered any major cons with the platform. The only point of friction has been the lack of a built-in integration with the HR platform we use in our business—but even that hasn’t been a dealbreaker.

    For the most part it’s fine. It just the lack of some basic functionality like paid break tracking puts it behind other apps available.

    Lots of scheduling functionality including sales forecasting and assignments. Adding users is very quick as well. Also it allows for different language settings.

    Negative

    I absolutely hate that the app does not allow clocking in/out for unpaid breaks. Both for managing breaks and legal compliance, paid breaks should be tracked.

    Summary

    I tried over five different scheduling systems. This one had a little higher price tag than the rest for how many staff I have, but it is so worth it! Once I tried this one I kept comparing all the rest to this one and they were never enough. My staff and I have been absolutely thrilled with When I Work.

    The system is extremely customizable and I can set it up exactly the way I want. Customer service is very accessible and delivers prompt and thorough solutions. The system is intuitive and made for a smooth transition from what we were using before.

    If people used this app for another job previously, they had trouble logging in under this company. I reached out to customer service and they were very helpful.

    This program has helped us in creating a schedule for multiple locations with fewer errors! We will continue to use it for the time being because of this!

    You can have multiple locations and positions on 1 view. You can also filter out the different locations and positions so you can look at the schedule multiple ways.

    Negative

    I wish I could control the filters slightly more to wear I could look at 2 or more employees' schedules at once. You can see each individual schedule or everyone at one time.

    Managing two locations and using paper TOR and calendars is a thing of the past. Now I have it all with me regardless of where I am and my staff love it too

    Great Product but not consistent between app and browser

    Overall I like When I Work. It makes managing the schedules of my employees very hands off for me. There are a few features I think would be a huge bonus like within a shift being able to add an appointment for a specific person and it show up 6:00am-11:00am TRAINING and then within that could have 8:00am-9:00am JOHN DO. I understand there being a minimum for how many staff we can have on but it would be nice to have it where after the initial 5 employees we could purchase one at a time. I have 5 employees, plus myself so I need 6 spots which means I have to pay for 10. I would be more inclined to use more of the features if I would not need to pay per 5.

    I like the ease of scheduling my trainers. It is incredibly easy for them to add in any requests and manage their availability on their own.

    Negative

    I don't like that you have to buy in groups of 5 for employees. I know the cost isn't a lot per employee but as a small business, every dollar adds up VERY quickly. I own a gym and when my trainers have special things happening during their shift (first time workouts or a ClassPass user or personal training session) that I could add that to their shift with just the persons name so they're able to easily see it. I have tried adding the shift with note of the person coming but being able to name the event would be a huge bonus.
